Metadata

Metadata organizes your content. This includes:

Content Type

When adding content, you must select a Content Type (e.g. blog, presentation, video).

This video demonstrates:

    • How to select and change a Content Type
    • How admins can add, modify, and delete Content Types

Categories & Labels

Add Labels to your content (recommended, especially for Published content).

This video demonstrates:

    • How to add Labels
    • How admins can add, modify, and delete Categories & Labels

Version Date

The Version Date is set to the date you last added or edited the content, but you can manually select a different date:

When searching content, results are displayed by newest Version Date first:

Description

Internal description—only Enablix users can see this:

Excerpt

External description—visible to recipients when you share this content via Enablix email, Microsites, or Engagement Hubs:

Shareable

Determines content sharing permissions:

    • Externally Shareable - can be shared with non-Enablix users
    • Internal & Confidential - restricted to Enablix users only

Access

When content is Published, it's available to all Enablix users. To limit this to select user groups, you can add Access Groups (e.g. admins only, sales team, leadership).

This video demonstrates:

    • How to add Access Groups
    • How admins can add, modify, and delete Access Groups

Collaborators

When a user is added as a Collaborator:

    • They'll receive email notifications whenever the asset is updated or deleted
    • They can access the content even if it's saved as Owner's Private Content (Save as My Content)

Thumbnails

When content is added we'll automatically generate a thumbnail. If we can't generate one (e.g. file type isn't supported, URL doesn't allow third-party embedding), you can add your own:

For best quality, we recommend an image size of 360 x 200 pixels.

For MP4 videos, you have an extra option: click Select Video Thumbnail in the upper-right corner to choose a frame from the video as the thumbnail:

Owner

The user who adds the content is the Owner:

To change the owner, hover over the three dots to the right of Share and click Change Owner:

Properties

Need more content organization options? Properties are customizable metadata fields that let you organize content beyond the standard options.

This video demonstrates:

    • What Properties are and how they organize content
    • The difference between Properties and Categories & Labels
    • How admins can add, modify, and delete Properties
