Adding and Managing Content
All users can add and edit content, but save options vary based on your role. For example, some users can publish content directly, while others need to request approval.
Adding Content
- From the Home page, click Add and select a content format: File, URL, Text, Content Kits, Microsites, Engagement Hubs, or Import (admin only). To see which file types and platforms are supported, see Supported Content Formats.
- Enter a title and select a Content Type.
- (Optional) Fill in additional details:
- Description: Visible to Enablix users.
- Excerpt: Visible to external recipients when shared by email, Engagement Hubs, or Microsites.
- Shareable: Choose whether the content can be shared outside your organization.
- Access: Limit access to select Enablix user groups, if applicable.
- Collaborators: Give other Enablix users access to content saved with Save as My Content.
- Labels: Organize content by solution, service, and more.
- Choose a save option:
- Save as My Content: Only you, admins, and any collaborators you add can access the content.
- Request Approval: Send the content to an admin for review. Once approved, it’s available to all Enablix users.
- Publish (admin only): Make the content available to all Enablix users immediately.
💡 The more details you fill in, the easier your content is to find in search.
Editing Content
- Open the content and click Edit (pencil icon).
- Make your changes.
- Choose a save option, just like when adding content.
For other changes, like updating the Content Type or Owner, hover over More Actions (three dots) to the right of Share and select an option.
💡 Always edit content instead of deleting it and adding a new version. Edited content keeps the same links active, so recipients see the latest version, and you keep all of its engagement tracking. Admins can also bulk edit content in Content Manager.
Deleting and Archiving Content
⚠️ Deleting is permanent and removes the content and its engagement tracking. To keep either, admins can archive published content instead.
To delete content:
- Open the content.
- Hover over More Actions (three dots) to the right of Share.
- Select Delete.
To archive content (admin only):
- Open the content.
- Hover over More Actions (three dots) to the right of Share.
- Select Archive.
Only published content can be archived. Archived content won’t appear in search results, but admins can view it in Content Manager’s Assets tab. To unarchive content, follow the same steps and select Unarchive.
